About us

The smicroSuite is a digital blended learning support tool that enables you as a participant in training courses to access supplementary information and make notes during instructor-led training and provides digital support across the entire learning process. The smicroSuite is also a sales support element that can be used in different contexts to train and inform sales employees about a company’s products, as well as products offered by competitors. In addition, the smicroSuite provides support for organising and carrying out events within the framework of instructor-led training sessions.

Information about the collection of personal data

In the following paragraphs, we have provided information about how personal data is collected when our website is used. Personal data refers to all data that is related to you personally, such as your name, address, email addresses and user behaviour.

The “controller” according to Art. 4 (7) of the General Data Protection Regulation (GDPR) is smicro GmbH (AG Mainz HRB 47996) based in Mainz, Lauterenstr. 37, Germany.

When you contact us via email or via a contact form, the data communicated by you (your email address, your name and your phone number) is stored by us in order to answer your questions. We erase the data collected in this context as soon as it is no longer necessary to store it, or we restrict the processing of this data in the event that legal data retention obligations apply.

If we use contracted service providers for some of the features in our offering or if we would like to use your data for promotional purposes, we will explain the relevant processes in detail below. In this case, we will also name the defined criteria for the storage duration.

Purpose and legal basis of the data processing and the use of personal data

The smicroSuite allows you as a participant in training courses to access a wide range of functions and media formats that you can use as part of the didactic training courses.

The trainers can also access personal data for the purposes of preparing and carrying out the training course. Furthermore, you can ask for additional information from the participants that you would like to use for your training course.

The processing of their personal data is necessary in order to organise, design and carry out the training course. To this end, we implement technical and organisational measures to ensure an appropriate level of protection of personal data that satisfy the requirements of the GDPR.

In this context, the system enables processing of the training and event registration and the communication of event-specific data.

We collect the following personal data to enable you to use the smicroSuite (legal basis is Art. 6 [1] [a], [b] and [f] of the GDPR):

After logging in, you can view your personal data at any time. Your brief profile can only be viewed by other participants in courses/training sessions if you enable this in the system. Your full profile is visible to trainers and administrators regardless of this.

In addition to this information, the underlying software on https://smicro.de logs data about which elements are accessed by site users.

We collect this data cumulatively to improve performance and the attractiveness of the content and tests etc. Depending on the design of your individual offering, log data will also be recorded about whether you have taken part in an assigned task or a test. Among other things, we collect:

When using the system’s own messaging function, the texts that you write for other users can be viewed by administrators. If you do not want this, please use your email system and compose emails to send messages to other users.

Posts or messages that you write or stick on pinboards, for example, can also be viewed by all participants/trainers/administrators at a later date when you are no longer active as a training participant or user (provided that they were originally released by you). These contributions are comparable to “letters to the editor” in a newspaper. You can still look back on these years after they are published.

Another purpose for the use of personal data is to enable retrospective analysis of the learning performance of participants. This will help to facilitate opportunities for improvement and further development of the learning content and the learning programme, while also providing specific recommendations for further training courses for the participants. Data will only be disclosed to other systems within the framework of the company-based agreements.

Use of personal data

Personal data will be used by smicro GmbH. smicro GmbH will never disclose personal data, with the exception of data that needs to be passed on within the context of the contractual agreement with the company that sent you in order to fulfil these contractual purposes. This includes test results to ensure that the company is able to evaluate and determine the success of the training measures and continuously improve them. Personal messages to us or other users will be treated confidentially and not passed on – provided that there are no legal or statutory obligations that require us to do so. When booking certain events, accommodation or evening activities, in some cases we may pass on the data required to complete the booking to third parties (e.g. your name and identity card number when booking a hotel room). You will be informed of this on a case-by-case basis. You can refuse to consent to the transfer of this data. This may restrict your ability to take part in these kinds of events, evening activities, hotel bookings, training courses, etc. You can refuse to consent to the transfer of your personal data by emailing support@smicro.app.

Access to personal data, including access to information, updating, correction or deletion

The recipients of personal data can only access the part of the data that is required in order to provide the relevant service. You can request information about your saved personal data, and under certain conditions, you can request that your data be corrected or deleted. You still have a right to limit the processing of your data, as well as a right to receive the data provided by you in a structured, standard and machine-readable format.

Length of data storage

We delete your personal data as soon as it is no longer required for the purposes described above, unless it is still necessary to store this on a temporary basis. For example, retention of the data could be necessary due to legal and declaration obligations, such as those set out in the German Commercial Code and the Tax Code. In addition, we keep your details for as long as claims can be lodged against our company.

Organiser emails

The trainers and the event organisation can use the message/email system integrated in the smicroSuite to contact the training participants for future, existing or past training measures. If you have registered for the services of an event, then your email address can be accessed by the relevant trainer and event organiser/team. The respective organiser is responsible for sending these emails and for the content of these emails – not (name) and not smicro GmbH.

Cookie data

We also use so-called “cookies” or similar technological tools to record log data. Cookies are small text files that are sent from the user’s computer each time they visit our website. They are unique to the relevant smicroSuite account or the browser. In terms of cookies and other similar technological tools, we use session cookies (which are deleted when the browser is closed) or permanent cookies (which are stored until they are deleted by the user or the browser). For example, we use cookies that save your language settings or other settings so that you do not need to configure these every time you log in to the smicroSuite. Some of the cookies used by us are assigned to your smicroSuite account (including your personal information, such as the email address provided), while others are not.

Log data and tracking data

When you use the smicroSuite, our servers save information (“log data”), including information that is sent automatically by your browser when you visit our website, or information that is sent by your mobile application when you use it. This log data includes your Internet protocol address, the address and activities on the smicro subpages you have visited, searches, browser type and browser settings, the date and time of your activity, and how you have used the smicroSuite, as well as cookie data and device data.

External services

For database and content hosting, smicro GmbH uses services of Amazon Web Services („AWS“) from Amazon Web Services EMEA SARL, 38 Avenue John F. Kennedy, L-1855 Luxembourg. The data centers where the data is stored are certified according to ISO 27001, 27017 and 2018 as well as PCI DSS Level 1 and TISAX.
